I recently came across a LinkedIn post about a company that lost a bid to a competitor who significantly underpriced the job, only to have the client return months later to share how unhappy they were with the company they chose.

In the end, they paid more than the original bidder’s quote to fix the mistakes.

This situation is not unique to the event rental industry. It happens across many sectors and businesses around the world. In today’s economy, purchasing decisions are often reduced to a single comparison: the total at the bottom of a spreadsheet. Two proposals sit side by side, and the lower number can seem like the obvious choice. On the surface, the items may appear identical with quantities matching, product descriptions looking similar, and delivery/labour being included. I’ve learned time and time again what looks comparable on paper is rarely equivalent in execution.

A rental quote is not simply a list of tents, chairs, tables or support equipment. Behind every proposal is an operational system that determines whether an event runs smoothly or becomes unnecessarily stressful. Experienced project management, documented quality control procedures, inventory inspections before delivery, skilled installation crews, contingency planning and clear logistical co-ordination all contribute to the success and outcome of an event. It is important for companies to clearly define the full scope of their proposals by outlining key elements that are contributing to the price, so clients gain a clearer understanding of the service supporting the price. In many cases, the difference between two bids lies not in the product itself, but in the process behind it.

The challenge is that much of this work happens behind the scenes. Clients do not see the warehouse inspections completed before loading. They do not see backup inventory placed on trucks in case of damage or last-minute changes. They do not see the internal systems that ensure consistency across large scale installations. What they see is the proposal and if that proposal fails to communicate value, the decision can quickly become purely financial.

This challenge becomes even greater when responding to formal RFQs that leave little room for explanation. Many bid documents provide only fields for quantities and totals, with no space for clarifications or scope descriptions. When the format limits communication, even highly professional operations can be reduced to commodity pricing. Because of this, communicating value must begin well before the proposal is submitted. Whenever possible, companies should engage in pre-bid conversations and ask thoughtful questions about venue logistics, installation and detailed event timelines, site access and event flow. These discussions not only improve the accuracy of a proposal but also demonstrate expertise and position you as a partner in the event’s success rather than simply a supplier of equipment.

It is also helpful to educate clients about the operational processes that support successful event execution. Many buyers are unfamiliar with the standards that ensure reliability, including trained installation crews, inventory inspections and contingency planning. When vendors communicate these elements clearly, clients are better equipped to evaluate proposals based on execution and reliability, not just price.

Of course, budgets are real and financial constraints are valid. However, the lowest upfront price does not always represent the lowest overall cost and in event execution, the consequences of inadequate planning, insufficient staffing or inconsistent inventory standards often appear later, when it is far too late to do anything about it.

Competitive industries will always involve pricing pressure, but the real objective is to ensure clients are making informed decisions by clearly understanding what is included, what is excluded and what risks they may assume. Reliability, accountability and operational excellence may not always produce the lowest number on a spreadsheet, but they consistently deliver the most stable and predictable results and, over time, the distinction between price and value becomes clear. The true measure of value in event rentals is not the number on a quote but the confidence that the event will run smoothly. Companies that invest in strong operations, experienced teams and clear communication deliver reliability that goes beyond price. Clients who understand this can make informed decisions and choose partners who ensure predictable, successful outcomes.
